How to Choose Inspection Report Software: A Buyer's Checklist
Feature lists converge quickly. The questions that actually separate these products are about architecture, and they are easy to ask if you know which ones matter.

Inspection software listings look remarkably similar. Every product captures photos, produces a PDF, works on a phone, and now uses AI. Comparing them on features produces a tie.
The differences that matter are architectural, and they surface only under specific questions. This checklist is organised around the seven that most reliably separate products, with an indication of what a good answer sounds like.
1. What does "offline" actually mean here?
Ask whether you can complete a full working day — multiple jobs, several hundred photographs, audio — with the device in airplane mode from start to finish.
Then test it. Put the phone in airplane mode, complete a realistic job, force-quit the app, reopen it, add more findings, then reconnect and check what arrives and what the timestamps say.

2. Where does the report language come from?
If a product drafts findings, ask whether the language comes from a reviewed library or from a model composing prose, and whether you can see the source of any given sentence in a finished report.
The follow-up question is the revealing one: what happens when nothing in the library fits the evidence? A system that flags a gap for human authoring is behaving correctly. A system that writes something anyway is producing a statement nobody has reviewed, in a document you will sign.
3. Can AI-drafted content reach a client without human approval?
Ask whether that is prevented by the system or by policy. Those are different guarantees. You are professionally responsible for every statement in the report, and "the software wrote it" is not a defence anyone will accept.
Also ask whether the interface shows which content was drafted and which was written or edited by a person, and whether review is ordered so uncertain findings get attention first.
4. Does history attach to the job or the asset?
If you do repeat or compliance-driven inspection, this is the highest-value question on the list. Ask whether a previous inspection's open findings appear during the next inspection, at the relevant item, in the field.
If the answer is that the inspector can open last year's report beforehand, the answer is no. Under production pressure, research that depends on someone remembering to do it does not happen.
5. What happens to the original evidence?
Ask whether original photographs remain retrievable after annotation, whether a content hash is computed at capture, and whether metadata is retained or stripped.
This matters for any work that might be examined later — claims, compliance, anything with a dispute risk. Annotation that overwrites the original destroys the unmarked copy, and it is the unmarked copy that establishes what was actually there.
6. How does pricing scale, and what does it discourage?
Pricing shapes behaviour. Per-report pricing gives inspectors a reason to ration exactly the tool that is supposed to speed them up, and creates awkward incentives around thoroughness.
- Per seat — predictable, scales with the team
- Per asset under management — scales with the business, aligns with the value of accumulated history
- Per report — creates a disincentive to use the product
- AI as a paid add-on — a signal worth noticing; it usually means the AI is bolted on rather than architectural
7. Whose data is it, and can you get it out?
Three specific questions, all of which should have immediate answers:
- Can I export my inspection history, evidence, and reports in a usable format, without paying for the privilege?
- Is my evidence used to train models? Is that in the contract or just the marketing page?
- Where is the data hosted, and can I choose the region?
A vendor confident in their product does not need to hold your data hostage. Difficulty here is a reliable signal about how the relationship goes later.
Questions that matter less than they appear
- Template count. A large library of templates you will not use is not an advantage. One that matches your standard of practice is.
- Integration lists. Long lists usually contain the two you need plus forty you do not. Check the two.
- Number of features. Depth in the three things you do every day beats breadth in thirty you do not.
- Whether it uses AI. Everything does now. How it uses it is the real question.
A ten-minute evaluation you can run today
- Airplane mode. Complete a realistic job with twenty photographs and a voice note.
- Force-quit the app mid-job. Reopen it. Check what survived.
- Reconnect. Check what synced, and check whether photo timestamps match when you actually took them.
- Generate a report. Look for a finding you did not write, and ask where its language came from.
- Try to export everything you just created.
This will tell you more than a fortnight of demos. Products that handle it comfortably were designed for field conditions; products that do not were designed for a showroom.
